MYTH: "Copy the industry best practice."
The correction: a best practice is someone else's solution to someone else's constraints. Copy the problem-solving, not the artifact. Run their playbook through your own conditions first.
SOP: Adapting a borrowed process
Run this whenever you import a workflow from a case study or competitor.
Stage 1 — Extract
— ☐ Write the problem the original solved, in one sentence. (Owner: process lead)
— ☐ List the constraints they had: team size, tools, volume. (Owner: process lead)
Stage 2 — Compare
— ☐ Mark every constraint that doesn't match yours. (Owner: process lead)
— ☐ For each mismatch, decide what changes in your version. (Owner: process lead)
Stage 3 — Pilot
— ☐ Run the adapted version on one small case before rollout. (Owner: process lead)
Owner: process lead. Trigger: importing an external workflow. Done-when: the borrowed process is rewritten to your constraints and piloted.
