Dissecting the cold pitch that got a 41% reply rate
Most of our pitches died in spam folders until we rebuilt the email line by line for a logistics startup. Here's the anatomy.
Subject: six words, a number, no adjectives — "Freight delays up 30% since March."
Line one: their name and the exact article they wrote two weeks ago, proving we read it.
Line two: the news hook, one sentence, the reason this matters today.
Line three: the offer — "I have the data, a chart, and a 10-minute call with our ops lead."
Line four: the out — "Not your beat? Tell me who and I'll stop."
No attachments, no logo, under 90 words. We sent 60. We got 25 replies.
One reporter answered: "Finally, a pitch that respects my inbox." Another forwarded it internally with "this is how you do it."
The magic wasn't persuasion. It was subtraction — every line that didn't earn its place got cut.
Lesson: A reporter decides in four seconds. Write the email so the first four seconds do all the work.
