The personalization that fooled no one

An agency proudly showed me their outreach: every pitch opened "Loved your recent piece on [topic]!" Reply rate was 1.2%. They thought the problem was the list.

It wasn't the list. It was that the "personalization" was a merge field — the topic was scraped from the journalist's most recent URL, often a wire rewrite they hadn't even chosen to write. One reporter wrote back: "You loved my piece on quarterly tractor sales? I didn't." The compliment exposed the automation instead of hiding it.

We killed the fake-warm opener entirely. New rule: the first line either references something only a human reader would catch — a specific argument, a recurring beat, a stance the reporter takes — or it doesn't pretend at all and just leads with the story. We capped the team at 25 truly-read pitches a day over 200 fake-personal ones.

Reply rate climbed from 1.2% to 9%. The volume dropped 80% and placements tripled, because the few we sent actually fit the reporter's world.

Lesson: fake personalization is worse than none — it signals you'll automate everything else too. Either you read the byline or you don't; reporters can always tell which.
