Shared state means:
— A single source of truth for content status (not three different tools)
— Clear ownership for each piece at each stage
— Status updates that happen in the calendar itself, not in a separate Slack thread
— Visibility into what's in progress, not just what's scheduled
The tool matters less than the discipline. I've seen teams run effective calendars in spreadsheets with consistent processes, and dysfunctional calendars in enterprise tools with sloppy habits.
Document your team's workflow in two pages or less. If you can't explain it simply, it's too complicated to survive contact with a deadline.
