Track recurring revenue by program before your dashboard hides the churn
Build one row per affiliate program and one column per month. Use a fixed template: Program, commission model, customer or account ID, signup date, trial start, paid date, current status, recurring commission, renewal count, churn date, payout threshold, and payout received.
Keep revenue and commission separate. Record the customer’s recurring payment only if the program reports it; otherwise track your expected commission as a separate field. This prevents a high-volume program with weak payouts from looking better than it is.
Add simple formulas for: active accounts = paid accounts minus churned accounts; recurring commission = active accounts × commission per account; payout gap = earned commission minus paid commission. Use status values such as Trial, Active, Churned, Pending, and Paid so filters stay consistent.
Review the sheet by program, not only by total revenue. Compare trial-to-paid conversion, renewal count, churned accounts, average commission per active account, and unpaid balance. Add a notes column for attribution changes, refunds, or missing reports instead of altering historical cells.
A useful sheet should answer three questions quickly: which programs retain customers, which actually pay on time, and where revenue is being lost. Keep the template boring and consistent; clean inputs beat a sophisticated dashboard.
