Q: I lost a chargeback I should have won. Where did I go wrong?
A: A chargeback (a forced card refund the buyer's bank initiates) is winnable, but most merchants lose on process, not merit.
The avoidable losses:
— You missed the representment deadline. Card networks give you a tight window (often 7-20 days) to respond with evidence. Miss it and you forfeit automatically.
— You sent a wall of text instead of the specific evidence the reason code asks for. 'Product not received' needs tracking and delivery proof; 'unauthorized' needs IP, device, and AVS match. Wrong evidence loses.
— Your billing descriptor is cryptic, so the cardholder didn't recognize the charge and disputed an honest purchase.
Fix: map each chargeback reason code to the exact evidence it requires, and template that response now. Set a calendar alarm for the deadline the moment a dispute lands. Make your descriptor readable — your brand name plus a support URL.
Short version: chargebacks are lost on deadlines and wrong evidence, not on weak cases. Template by reason code.
